How to Choose a Corporate Event Organizer in Jakarta
# How to Choose a Corporate Event Organizer in Jakarta
Pick the wrong event organizer and you waste money, hurt your brand, and stress out your team. The problems stick around long after the event ends.
Most companies pick based on price. That's usually the most expensive choice. The cheap vendor often costs more through mistakes, bad quality, and the hours your team spends fixing things.
Here's how to pick the right event organizer in Jakarta.
## 1. Look at their past work
Don't hire anyone without seeing what they've done before. A portfolio shows you more than any sales pitch.
Look for events like yours in size and type. Clients in your industry. Photos that show they care about details.
Ask them: Can you show me three events like what I need? What went wrong and how did you fix it? Can I talk to past clients?
If they can't show past work, walk away. They either don't have experience or they're hiding something.
Watch out for organizers who only show big events but can't show smaller ones. That usually means they can't handle your size.
## 2. Check their vendor connections
Event organizers work with caterers, AV companies, decorators, and photographers. The vendors they use affect your event quality.
Ask who they work with. How long they've worked together. If they have backups when things go wrong. And if they get better prices because of their relationships.
Organizers with good vendor connections get lower prices, priority booking when it's busy, reliable service, and help when problems happen.
Organizers who book new vendors every time pay more, get worse service, and have no backup when someone cancels.
## 3. Ask for a breakdown of costs
Don't accept one total number. Ask for a line-by-line breakdown.
Your quote should show venue cost, catering per person, AV equipment and setup, decoration, photography hours, transportation, and a buffer for surprises.
When you see the breakdown, you can compare fairly and spot hidden costs.
One vendor might quote Rp 150M total. Another might quote Rp 130M. But the cheaper one doesn't include AV (add Rp 20M) and charges more for food. The real cost is Rp 160M.
## 4. Talk to at least 3 vendors
Get quotes from three organizers. Compare them side by side.
Make a simple table with price, experience, vendor connections, how fast they respond, and how detailed their proposal is.
The cheapest isn't always best. The most expensive isn't always worth it. Look for the best value.
A common mistake is only comparing price. A vendor that's Rp 20M cheaper might cost you Rp 40M in problems later.
## 5. Test how they communicate
You'll work with this person for weeks. If communication is bad, the whole experience suffers.
During the evaluation, check how fast they reply. Do they listen to your needs or push their own ideas? Can they explain things simply? Do they ask about your goals?
Good communication means they ask about your business goals, explain their process clearly, give honest opinions, and follow up when they say they will.
Bad communication means slow replies, generic proposals, vague answers about price, or pushy sales tactics.
## 6. Meet the actual team
The sales person who pitches you might not manage your event. Find out who you'll work with day to day.
Ask who your contact will be. How many events they handle at once. How experienced they are. And if you can meet them before signing.
A great sales team with a weak execution team is a trap. You're paying for the work, not the pitch.
## 7. Learn their process
Every organizer works differently. Make sure you understand how they work before you commit.
A good process starts with a call to understand your needs, then a proposal with plan and pricing, then planning phase for venue and vendors, then a rehearsal to test everything, then the event, then follow-up after.
Ask how often you'll meet. How they handle last-minute changes. How they communicate. And what happens if something goes wrong on event day.
## 8. Check insurance and contracts
Real organizers have insurance and use written contracts.
Make sure they have event liability insurance. Know their cancellation policy. Understand payment terms. And get a detailed scope of work in writing.
Don't hire anyone without a written contract, who demands full payment upfront, has no insurance, or has unclear cancellation rules.
## 9. Find industry experience
An organizer who knows your industry understands your needs better.
Financial services events have compliance rules. Tech launches need specific AV. Healthcare events have regulations. Trade shows need exhibition expertise.
Ask: Have you worked with companies in my industry? If yes, they get it. If no, they'll learn on your dime.
## 10. Trust your gut
After all the research and comparisons, trust your feeling.
You found the right partner if you feel heard, they give honest feedback, their proposal makes sense, and you're excited to work with them.
Keep looking if something feels off, they overpromise, you feel pressured, or communication is hard.
## The timeline
Week 1: Find 5-6 candidates. Week 2: Contact all, get proposals. Week 3: Compare and score. Week 4: Interview top 2-3, check references. Week 5: Decide and sign.
Don't rush. A good organizer is worth the time.
## Mistakes to avoid
Picking based on price is the biggest mistake. Not checking references is second. Ignoring communication quality is third. Skipping the contract is fourth. Not meeting the team is fifth. Rushing the decision is sixth.
## What to do next
Once you pick your organizer, set clear expectations. Share your goals, budget, and timeline. Agree on how often you'll talk. Review the plan together. Stay involved. Give feedback.
