Accessibility Checklist for Corporate Events in Jakarta
# Accessibility Checklist for Corporate Events in Jakarta
You plan a corporate event. You book the venue. You invite speakers. Then someone tells you they cannot attend because the venue has no ramp access. Or the restrooms are not accessible. Or the food does not accommodate their dietary needs.
This happens because accessibility was not part of the planning. Here is a complete checklist to prevent this.
## Before you book the venue
### Physical access
Does the venue have ramp access or elevators?
Are there accessible restrooms on every floor?
Are doorways wide enough for wheelchairs (minimum 90cm)?
Are there clear pathways without obstacles?
Is there accessible parking near the entrance?
Are lifts equipped with audio and visual indicators?
### Sensory access
Can lighting be adjusted (not too bright, not too dim)?
Is the sound system adequate for hearing-impaired attendees?
Are there quiet spaces for sensory breaks?
Is the venue free from strong smells or fumes?
### Communication access
Is there WiFi for assistive technology?
Can the venue accommodate sign language interpreters?
Is there space for CART captioning equipment?
Are there screens visible from all seating areas?
## During registration
### Collect access needs
Ask about physical disabilities (wheelchair, mobility aids).
Ask about sensory disabilities (hearing, vision).
Ask about dietary requirements (allergies, religious, personal).
Ask about communication needs (translation, captioning).
Ask about childcare needs.
Ask about any other access requirements.
### Provide information
Share venue accessibility details in advance.
Include photos of accessible features.
Provide directions to accessible entrances.
Share information about nearby accessible parking.
## At the event
### Physical access
Keep pathways clear at all times.
Do not block accessible routes with displays.
Provide seating throughout the venue.
Have staff trained to assist with accessibility.
### Sensory access
Monitor sound levels (below 85dB).
Provide hearing loops or assistive listening devices.
Keep lighting comfortable and adjustable.
Offer quiet spaces for breaks.
### Food and drink
Label all food clearly (ingredients, allergens).
Provide options for every dietary need.
Keep water available at all times.
Avoid strong-smelling food in enclosed spaces.
### Communication
Use microphones for all speakers.
Provide captioning for keynotes.
Have translation available if needed.
Use high contrast materials for visibility.
## After the event
### Feedback
Ask about accessibility experience.
What worked well?
What could be improved?
Were there any barriers?
### Follow up
Share recordings with captioning.
Provide materials in accessible formats.
Thank attendees for their feedback.
Implement improvements for next time.
## Jakarta-specific considerations
### Venue accessibility
Jakarta has improved accessibility in recent years, but challenges remain:
Many older buildings lack ramp access.
Sidewalks can be uneven or blocked.
Public transport accessibility varies.
### Cultural considerations
Halal food is standard, but offer vegetarian and vegan options.
Prayer rooms should be available.
Respect hierarchical seating arrangements.
Be aware of communication styles.
### Weather
Rainy season (November to March) can affect outdoor events.
Have indoor backup plans.
Provide shelter for attendees arriving in rain.
Consider temperature control in venues.
